Team Management

What it does

The Team page lets you invite colleagues to your Azumo account, control what each person can do, and remove people who no longer need access. There are two roles: Tenant Admin (full access) and Tenant Member (read-only with limited editing). You can have as many team members as you need, but at least one admin must remain on the account at all times.

How to get there

In the left sidebar, go to Settings, then click Team. The URL will be /tenants/[your-id]/settings/team.

Step-by-step

Invite a new team member

  1. On the Team page, click the Invite Team Member card to expand the invite form (it collapses and expands like an accordion).
  2. Fill in the person’s Name.
  3. Fill in their Email address — this is where the invitation will be sent.
  4. Choose a Role from the dropdown:
    • Tenant Admin — full access to everything: settings, contacts, agent configuration, billing, and the ability to invite or remove other members.
    • Tenant Member — can view calls, contacts, and settings, but cannot change most configurations or manage other team members.
  5. Click Send Invite.

The person will receive an email with an invitation link. When they click it, they land on a page at /auth/accept-invite where they set a password and join your account. After that, they can sign in at app.hello.azumo.com using their email and the password they created.

Change a team member’s role

  1. Find the person in the members list.
  2. Click their role badge (the pill that says “Tenant Admin” or “Tenant Member”). An inline dropdown appears.
  3. Select the new role from the dropdown — Tenant Admin or Tenant Member.
  4. Click Save to confirm, or Cancel to discard the change.

The change takes effect immediately.

Remove a team member

  1. Find the person in the members list.
  2. Click the Remove button on their row.
  3. A confirmation dialog appears — confirm to remove them.

A few things to know about the Remove button:

  • You cannot remove yourself. The button is disabled on your own row.
  • You cannot remove the last admin. If only one admin remains on the account, that admin’s Remove button is also disabled. Promote another member to admin first, then remove the original.

Once removed, the person loses access immediately and cannot sign in to your account.

Switch between accounts (if you have more than one)

If your email address has been added to more than one Azumo account — for example, you manage the receptionist for two separate businesses — a dropdown appears in the top-left area of the sidebar, showing the name of the account you are currently viewing.

Click the dropdown to see all the accounts you have access to, then click any account name to switch to it. Everything on the screen — calls, contacts, settings — updates to reflect that account.

Manage your password and two-factor authentication

Your personal login security settings are separate from team management. To access them:

  1. In the left sidebar, scroll to the bottom.
  2. Click Security. The URL will be /account/security.

From this page you can:

  • Change your password — enter your current password and then a new one. Passwords must be at least 8 characters and include a lowercase letter, an uppercase letter, a number, and a special character.
  • Enable or disable two-factor authentication (2FA) — uses a TOTP authenticator app (such as Google Authenticator or Authy). When 2FA is enabled, you enter a 6-digit code from the app each time you sign in.

These settings apply only to your own account — you cannot change another team member’s password or 2FA from here.

Tips

  • Invite before they need access. The invitation email expires, so send it when the person is ready to set up their account. If the link expires, remove the pending invitation and send a new one.
  • Start with Tenant Member for most staff. If someone only needs to check call history or look up contacts, there is no reason to give them full admin access. You can always promote them later.
  • Two admins is the safe minimum. If you are the only admin and you get locked out of your account, there is no other admin who can help you. Add a second admin as a precaution.
  • Use Google sign-in if your team uses Google Workspace. Team members who sign in with Google do not need to remember a separate Azumo password. Both email/password and Google OAuth are accepted at every sign-in.
  • Password requirements apply to all members. Passwords must include at least one lowercase letter, one uppercase letter, one number, and one special character, and be at least 8 characters. Share this with new invitees so they are not surprised when setting their password.

Troubleshooting

The invited person says they did not receive the invitation email. Ask them to check their spam or junk folder. The email comes from Azumo and may be filtered. If it is not there after a few minutes, remove the invitation from the members list and send it again.

The invitation link says it has expired. Invitation links are time-limited. Remove the pending invitation from the members list, then send a fresh invite. The new email will contain a new link.

The Remove button is grayed out for a team member. One of two things: either you are trying to remove yourself (not allowed), or this person is the last remaining admin. Promote another member to Tenant Admin first, then come back and remove this person.

I want to change my own role but the dropdown is grayed out. You cannot change your own role. Have another admin on the account update your role.

The account switcher dropdown does not appear in the sidebar. You only have access to one account. The switcher only appears when your email has been added to two or more accounts. If you believe you should have access to a second account, ask that account’s admin to invite you.

A team member says they can see the settings but cannot make changes. They are likely a Tenant Member, not a Tenant Admin. A Tenant Admin on the account can update their role to Tenant Admin by clicking their role badge in the members list.

I set up 2FA but lost my authenticator app. Contact support@azumo.com to verify your identity and disable 2FA on your account.

A team member forgot their password. On the sign-in page at app.hello.azumo.com, they can click Forgot password to receive a reset email. You cannot reset another member’s password from the Team page — the reset must be initiated by the member themselves.
